Roles and responsibilities are listed below. Please inform us which committee you are interested in joining.

          Family Reunion Chairpersons: (Endia Jefferson & Jasmine DeCarish)

  • Provide coordination between ALL comittees and family members to provide "big-picture" guidance for reunion planning and execution
  • Recognize and thanks volunteers
  • Welcome family members when they arrive at the family reunion and help everyone feel welcome
  • Troubleshoot any problems via phone, web, mail and in person as needed
  • Mention if the guests should bring along any special clothing or equipment
  • Assist in special assignments such as coordinating additional food assignments, decoration assignments or activity assignments (The more assignments given out the better participation we will have)
  • Work closely with Invitation & Public Relations Committee to determine dates for required RSVP


         Welcoming Chairperson & Committee: (still need 1 person)
          Sub-Committee: (Anthony DeCarish, Sr, Nicole Jordan & Elizabeth Parkman)

  • Making sure everything is spelled correctly if the hotel contract calls for the family name on the marquee
  • Be the first point of contact for family reunion guests! Smile, hug, and make everyone feel welcome
  • Hand out name tags to all those attending
  • Hand out a copy of the family reunion agenda with exact date and time for the weekend's events
  • An attendance list that everyone has to sign as they check in. This will help you keep a headcount and a running tally of who has yet to arrive
  • Goody bags for kids – these bags should contain coloring book, crayons, and other little trinkets to keep the kids busy (optional)


         Invitations & Public Relations Chairperson: (Jasmine DeCarish)

  • Producing & Sending out Materials
  • Produce Polls & Surveys
  • Design & Send Invitations
  • Maintain Family Database
  • Website Assistance
  • Graphic Design

         Events, T-Shirts & Souvenirs Chairperson & Committee: (need 3 people)
         Sub-Committee: Samantha Jordan

  • Decide on design for t-shirts
  • Find a company that designs T-shirts
  • Order T-shirts and other family reunion souvenirs
  • Determine sizes and number of shirts
  • Distribute shirts at the family reunion
  • Plan activities and entertainment
  • Make assignments to individual families
  • Responsible for awards, certificates and prizes
  • Arrange for some ongoing activities that family members (individual and group such as basketball, croquet, badminton, and volleyball).
  • Include activities that will appeal to all ages and further family knowledge

        
         Food Chairperson & Committee:
(need 5 people)
         Sub-Committee:

  • Select a menu that relates to the theme celebrating
  • Organize arrangements (time and setting) for all meals
  • Find caterer or restaurant
  • If attendees need to bring food, make the necessary arrangements
  • Assign each family (or families) to one night or meal of dinner duties
  • Understand food allergies and dietary restrictions of all attendees
  • Determine and reserve needed equipment (tents, barbecue cookers, tables, etc.)
  • Purchase required nonperishable. Arrange for their storage and delivery to the site
  • Make assignments for preparing meals, cooking and cleanup
  • Make shopping list
  • Buy paper plates, napkins, tablecloths and plastic silverware and ice for keeping food 
  • Provide bags and boxes for garbage to the Facilities Committee and don’t forget a container for recycling aluminum cans
  • Make assignments for Facilities Committee to set-up and clean-up at each meal


          Photography Chairperson: (Endia Jefferson)
          Sub-Committee: (Meia Harris - need 2 more people)

  • In charge of the photographer, videographer, and memory album
  • Take responsibility for taking photos & video (NOTE: should have a camera or access to one)
  • Create a digital scrapbook of the family reunion for raising reunion funds
  • Schedule time for “whole group” and “mini group” family reunion photo
  • Organize individual photos of families throughout reunion
  • Create a family slide or presentation of the previous years’ family reunion to be viewed at an evening presentation
  • Create and maintain a budget for photos and distribution of reunion portraits, videos and images
  • Works with other committees for needed photos or information
  • Distributes copies of family reunion portraits/DVD’s - don’t forget to include postage when charging for photos


         Facilities (Set-Up & Clean-Up) Chairperson: (Anthony Rosemond)
          Sub-Committee: (Wayne Harris, Jr, Dudley DeCarish, Brandon Rosemond)

  • Setting up tables, chairs, stock with food, and drinks, put up decorations, take out trash. Work with Food Committee to ensure that there are enough paper goods, napkins, utensils, foil, and anything else that may be needed if outdoor grilling is being done
  • Placing directional signage in areas that make it easier for family members to get to the family reunion locations
  • Cleanup after any family reunion games/activities (i.e bouncey house rental, etc)
  • Setting up the registration area on the first day - working with the Welcoming Committee to make sure they have everything they need for a smooth and successful opening day of the family reunion (i.e. pens/pencils, registration packets, name tags, etc)
  • Take care of decorations, making sure room is set up properly, test A/V equipment like microphones, verification requirements for any music, lighting, and centerpieces. If there are any themes to the reunion then that will require additional set up of tables (E.g. Family history table, Family tree board).


          Family History Chairperson & Committee: (need 3-4 people)
          Sub-Committee:

  • Purchase or make a guest book to collect signatures, addresses and other important information, as well as serve as a permanent record of the reunion
  • Make displays of family history pictures of a family tree wall chart
  • Create and deliver a face book for attendees to have in hand, including name, home city/state, three notes of interest and a current photo of each member attending 
  • Prepare a family history presentation as determined by the reunion committee


         Finance, Dues & Fundraising Chairperson & Committee: (need 6-7 people)
          Sub-Committee:

  • Manage all funds and banking responsibilities
  • Make financial report available to reunion chairpersons and End of Year financial report to family
  • Track expenses from each committee
  • Allots funds and postage to each committee as finances allow
  • Works with each committee to confirm individual budgets
  • Coordinate collection of all monies from Annual Dues fees
  • Track collections
  • Plan fundraising activities for family reunion such as an auction or raffle
  • Manage donations and expenses associated with planning and executing the family reunion
  • Make displays of family history pictures of a family tree wall chart
  • Create and deliver a face book for attendees to have in hand, including name, home city/state, three notes of interest and a current photo of each member attending 
  • Prepare a family history presentation as determined by the reunion committee
